Law Firm Office Assistant (9433)

Job Description:

Reputable law firm located near Memorial Park has a great opportunity available for an experienced Office Clerk.

This position is multi-faceted and consists of duties in the areas of records, reception and finance.
 
Records
File for approximately 100 active cases
Maintain approximately 900 cases located on site across four file rooms
Maintain file room indexes (located in each file room)
Maintain file locations chart
Open new case files
File newspapers, magazines, etc. from attorney’s mail
Archive finished cases
Maintain archived cases located on-site
Maintain indexes for off-site file storage (indexes show what cases are located at which facility)
Request boxes to be delivered to our address from off-site storage
 
Reception (fill in as needed)
Answer telephone; take messages accurately (name and number)
Greet guests, clients, etc. with a smile
Promptly distribute electronic faxes
Kitchen duties (making coffee, unloading/loading dishwasher, etc.)
Maintain conference room schedule
Main Conference Room set up (water, make coffee, prepare conference rooms for depositions,
meetings, etc.)
Receive and log deliveries from FedEx and UPS
Sign for packages
Sort and distribute incoming mail
Request maintenance and overtime air conditioning through IMPAK (building requests system)
Order food for Firm when requested
 
Finance
Assist with electronic billing and appeals
Drafts and edits for e-billing (TABS)
Time entries
Month-end expenses (copy charges, Westlaw, e-Filing charges)
Setup new matters in copiers
Other Tasks and Duties
As assigned
Required Experience
Filing legal documents
Multi-line switchboard
 

Qualifications:

The ideal candidate will possess excellent organizational, time management, communication and interpersonal skills as well as strong multi-tasking skills. Must have the ability to act with discretion, be self-assured, conduct themselves in a professional manner, have a professional appearance and capable of working effectively under pressure.
 
Experience in a professional services industry, preferably a law firm.
