Evening Document Specialist/Word Processor (7588)

Job Description:



Position Overview:  The Dallas office is seeking a Document Specialist who will provide all aspects of legal document production utilizing a variety of software applications. The hours for this position are 5 pm to 1 am with a half hour lunch.


  • Expertly formats, produces and revises an unlimited variety of basic, complex and/or technically-complex documents.
  • Creates documents from handwritten copy, scanned text and preexisting forms.
  • Converts documents from and to various software applications, reformats (specifically PDF to Word or Excel) and formats using proper styles.
  • Produces financial statements, charts, graphs, mail merges, tables, presentations, letters, and other documents.
  • Utilizes specialized software (iManage, Stylizer, Payne Numbering Assistant, Drafting Assistant) to format converted or existing documents.
  • Creates automatically-generated Tables of Authority using Drafting Assistant or Citationware and automatically-generated Tables of Contents in MS Word.
  • Creates slideshows and/or graphics, flow charts or timelines in PowerPoint.
  • Utilizes document comparison software, redlining, and general editing to correct legal documents.
  • Transcribes digital or cassette tape dictation.
  • Enters time for timekeepers in Carpe Diem.
  • Creates stock certificates.
  • Creates and troubleshoots styles, macros and templates.
  • Scans documents to various formats, adds links and/or bookmarks, and uses CD burning equipment and software in creating or duplicating CD’s. 
  • Serves as firm resource person regarding questions pertaining to advanced functions and applications of various software.
  • Utilizes departmental ticketing software (Footprints) to create project tickets.
  • Performs other duties or special projects as assigned.

5+ years of legal document center or related experience required. 75 wpm and accurate typing skills required. Experience with word processing in a high-output environment and knowledge of advanced features and functions of latest versions of Word, Excel, Outlook, PowerPoint, Adobe Acrobat and other software applications required. Experience with Document Management Systems required (FileSite preferred). Strong grammar, spelling, punctuation and proofreading skills. Excellent communication and customer service skills. Knowledge of standard editor’s proofreading marks. Attention to detail with emphasis on accuracy and quality. Ability to learn and apply knowledge of additional software packages. Ability to work with minimal supervision. Ability to handle multiple priorities and meet deadlines. Requires regular and predictable attendance during the assigned work schedule, 5 pm – 1 am.
